Purpose and legal basis of the processing

The gathered personal information at the site will be used to efficiently support the application and recruitment process. The legal basis for data processing is Art. 6, para. 1, letter b) of the General Data Protection Regulation (GDPR) and § 26, paragraph 1 of the German Federal Data Protection Act (BDSG).

By applying to our education program, you will be asked to deliver personal data including of digital document copies containing personal data. On the application site, all fields marked with * are mandatory. All fields which are not marked are optional. You can provide this information on a voluntary basis. The legal basis is your consent based on Art. 6, para. 1 of the GDPR. Consent is also the basis of the use of your data for statistical purposes by the Max Planck School of Photonics and all academic institutions who are involved in the selection and evaluation process including the Gender Equality Officer and the Works Council.

Data recipients and categories of data recipients

Processing of your personal details is carried out by way of order processing on the GWDG GmbH. The Max-Planck-Gesellschaft as the responsible body has access to your data insofar as this is necessary for the application and recruitment process in line with the internal allocation of responsibilities. Your data will be reviewed by the Max Planck School of Photonics Fellows and office staff as well as the referees from all academic institutions involved in the selection and evaluation process including the Gender Equality Officer and the Works Council.

Use of data and duration of storage

We collect, process and use your data only insofar as it is necessary for the purposes of considering and evaluating your application and of securing long-term quality standards to our application system and education programs. Your data will be stored for a period of 10 years. This is done on the basis of Art. 6 para. 1 of the GDPR, which allows for the processing of data to fulfill a contract or pre-contractual measures. The collected personal data will be deleted after completely fulfilling the purposes given above. Legal retention periods remain unaffected. Users are advised that the collection, processing and use of their data are voluntary. You have the right to receive information about your personal data stored by us at any time. Likewise, you have the right of correction, blocking or deletion of your personal data. To do this, please express your wish at photonics@maxplanckschools.de. You can also request the deletion of the data, as long as no legal archiving obligation stands against this request. As far as such an obligation exists, we lock your data on request. You can make changes or revoke your consent by notifying us with effect for the future. We reserve the right to change this Data Protection Security and Privacy Policy Privacy Policy to ensure that it complies with current legal requirements or to implement changes to our services.

Rights of the data subject

In principle, you have the right to information in relation to the data concerning you, the right to have the data corrected should it be incorrect, the right to request deletion of the data if it is being stored unlawfully, the right to have the processing restricted and the right of data portability. You can withdraw consent which you have issued at any time. You also have the right to submit an objection to the supervisory authority.
